Organizations, schools, and departments
From new applicantto hired, in one pipeline.
Triage every applicant in a sortable list or a drag and drop board, see a fair match against your role, schedule interviews that book themselves, send offers, and close the round so every candidate knows where they stand. One workspace, with a full audit trail.
Posting opportunities and receiving applications is free on every plan.
Why Priya fits this role
Reading resume and cover letter
No names, emails, or demographics sent to the AI
Everything from review to hire, without leaving the page
No spreadsheet exports, no copying emails between tools, no candidate falling through the cracks. The whole cycle lives in one place, where every move is private until you choose to send and every action is recorded.
Triage with intent
A dense, filterable list and a drag and drop board, the same people two ways, so you sort fast and never lose context.
Decide with evidence
A transparent match against your role and an optional, identity blind AI ranking turn a pile of applicants into a clear shortlist.
Close with respect
Interviews that book themselves, offers you can track, and one clean close that tells every applicant where they stand.
One pipeline, every type
Not just jobs, the pipeline hires for everything you post
Every opportunity you post runs through the same workspace, with the stages and the way students are accepted adapted to what you posted. Only discounts sit outside it, because a student redeems those directly.
Apply, then get hired or awarded
Internships, jobs, scholarships, programs, and research. Students apply through a form you build or your own external link. Each applicant moves from New through Reviewing, Shortlisted, Interview, Offer, and Hired. A scholarship works the same way, you shortlist and award instead of hire.
Register, then attend
Events, campus tours, hackathons, conferences, and volunteering. Students register with one tap or a short signup form, capacity is enforced with a waitlist, and after the event you mark each person Attended or No show. A tour is handled as an event: sign up for a slot, confirm, and check them in.
Claim a basic need
A food pantry is a claim, not an application. A student taps once to reserve for the current cycle. Pantries can recur weekly, every two weeks, monthly, or run drop in, and each cycle is its own row, so returning students and demand are tracked in the same pipeline. No essay, no resume, just a respectful signup.
Discounts are the exception. A code and a link the student redeems directly, so there is nothing to review and no pipeline.
Review
Every applicant, two ways to work
Each student who applies lands in the pipeline as one row. Scan many people fast in the List view, which loads more as you scroll and sorts by date, name, rating, GPA, graduation year, or match strength. Or switch to the Board to drag the same people between stage columns. Tick rows for a bulk action, and one filter applies across the list, the board, insights, and every export.
- Dense, sortable List view with infinite scroll
- Drag and drop Board, with a swimlane mode for many roles at once
- Filter by school, major, GPA, class year, skills, and even form answers
- Select rows for bulk shortlist, review, reject, save, or message
Decide
Open one candidate and see the whole picture
Select any row to slide in the applicant drawer. It brings the resume, cover letter, form answers, match reasoning, your private notes, and the star rating into one view, so you make a real decision without leaving the pipeline. Names open a secure preview through a signed token, and documents open through a proxy, never a public file link.
- Resume, cover letter, and every form answer, side by side
- A 1 to 5 star rating and private team notes the applicant never sees
- Right click a name to fan candidates into tabs and compare
- Signed preview tokens and proxied downloads, never a raw ID or URL
Match
A fair score against your role, plus optional AI
Every applicant carries a transparent Strong Candidate match, a rule based score from 0 to 100 against your own criteria, with a plain reason for every point. When you want a second read, the optional SLOS AI assistant ranks the pool with a one line reason per pick. It is blind to race, gender, age, disability, and veteran status by construction, school prestige is never a ranking input, and it never moves a candidate or messages anyone.
- Strong, Medium, and Weak bands with a reason behind every point
- Optional SLOS AI ranking, light check or a deeper resume read
- Identity blind by construction, no names or demographics sent to the AI
- Decision support only, you make every call
No names, emails, or demographics sent to the AI
Interview
Interviews that schedule themselves
Paint the windows your team is free on the Calendar tab, then invite a candidate or a whole shortlist from the pipeline. Each student picks an open slot, sees the time in the right timezone, and gets the meeting link automatically, so you never trade emails to find a time. Invited, confirmed, completed, expired, and cancelled all sync back, and timezone aware reminders fire to both sides.
- Students self book into the windows you paint, no scheduling tag
- Times convert to each person timezone, stamped on the server
- Bulk invite a shortlist to one availability set
- Leave private interview notes and a rating on each candidate
Offer
Send offers, then track every reply
From the Offers tab, send one offer or extend the same terms to a group. Each offer carries an expiration date, notes, and any documents you attach, so the candidate has everything they need to respond. Track who accepted, declined, or let it expire, and filter the pipeline by offer state to follow up on anyone who has not yet replied. Moving someone out of Offer sent warns you first, so a status change never silently rescinds an offer.
- Deadline, notes, and attached documents on every offer
- Extend the same offer to a group in one action
- Track accepted, declined, and expired at a glance
- A status change never silently rescinds, it warns you first
Automate
Personalized emails and documents, triggered by stage
Set a rule once and let the pipeline do the busywork. When a candidate reaches a stage you choose, an automation can send a personalized email and deliver the right documents automatically, so a welcome packet, a next steps note, or an onboarding form always goes out on time. Every automated send is logged, and Silent review still means nothing leaves until your rules say so.
- Trigger a send when a candidate reaches a stage you pick
- Attach and deliver documents automatically with the message
- Personalized to each candidate, never a generic blast
- Every automated action is recorded in the audit trail
Every automated send is logged
Measure
An honest hiring funnel, never a fabricated number
The Insights view turns your pipeline into a clear, focused picture: a funnel from views to applications to shortlisted to interviewed to hired, time to review, time to hire, and the source of every hire. Each tile is clickable and filters the list below to that cohort. If the data is not there yet, the tile says so instead of inventing a figure.
- Funnel from views to applications to interviewed to hired
- Time to review and time to hire, period scoped and honest
- Source of hires and drop off by stage, every tile clickable
- Export the pipeline to CSV, XLSX, or PDF, with save to Documents
Triage in private, then close the loop with everyone
Turn Silent review on and move the whole pool freely, nobody is emailed as you sort. Messages go out only from the actions you choose. When interviews and offers are done, one mark recruiting complete tells every remaining applicant where they stand, including the people not moving forward. It refuses to run while live invites or unanswered offers remain, and you can reopen the round if you need to.
See the full walkthrough- Silent review keeps every move private
- Confirm receipt sends a professional acknowledgment
- Emails fire only from actions you choose
- One clean close notifies every remaining applicant
- It will not run while invites or offers are open
- Reopen the round any time and scope a second send

Questions, answered
What is the hiring pipeline on StudentLife OS?
It is one workspace where every person who applies to your opportunity becomes a single row you can act on. Triage applicants in a dense, sortable list or a drag and drop board, open a full applicant drawer with the resume, answers, match reasoning, notes, and rating, move candidates through clear stages, schedule interviews, send offers, and close the round cleanly. The same pipeline works for organizations, schools, and departments.
Which opportunity types run through the hiring pipeline?
Every opportunity type except discounts. Career track postings, internships, jobs, scholarships, programs, and research, accept students through an application form you build or your own external link, then move them from New through Reviewing, Shortlisted, Interview, Offer, and Hired. A scholarship works the same way, you shortlist applications and award instead of hire. Events, campus tours, hackathons, conferences, and volunteering accept students by registration, one tap or a short signup form, with capacity and a waitlist, then move Signed up, Confirmed, and finally Attended or No show. A food pantry is a one tap claim per cycle, so returning students and demand are tracked in the same pipeline. Discounts are the only exception: a student redeems a code and a link directly, so there is nothing to review and no applicant list.
Will applicants get emailed every time I move them around?
Not when Silent review is on, which is the habit we recommend the moment you start triaging. With Silent review enabled, dragging applicants between stages never notifies them, so you can sort the whole pool privately. Emails go out only from the actions you choose: confirm receipt, interview invitations, offers, any automation rules you set, and the final mark recruiting complete. You are always in control of when an applicant hears from you.
How does the Strong Candidate match work, and is it the same as the AI?
They are two separate things. The Strong Candidate match is a transparent, rule based score from 0 to 100 computed against your own opportunity criteria, with a plain reason for every point, so you instantly see how well each applicant fits your role. The optional SLOS AI ranking is a separate, opt in assistant that reads the role and each candidate and ranks the pool with a one line reason. Both are decision support only. Neither ever moves a candidate or sends a message, and you make every hiring decision.
Is the AI ranking fair? What does it see?
The optional SLOS AI ranking is blind to race, gender, age, disability, and veteran status by construction, and school prestige is never a ranking input. Candidates are sent to the assistant alias keyed, with no name, email, or school name, and resume text is redacted for contact details. Recruiter instructions are screened before anything is sent. The AI never changes a status and never messages anyone. You remain responsible for every hiring decision.
How do interviews work?
You paint the windows your team is free on the Calendar tab, then invite a candidate or a whole shortlist from the pipeline. Each student picks an open slot, sees the time converted to the right timezone, and gets the meeting link automatically, so you never trade emails to find a time. Invited, confirmed, completed, expired, and cancelled all sync back to the pipeline, and timezone aware reminders fire to both sides. There is no limit on availability sets or bookings and no per interview fee.
What does "mark recruiting complete" do?
It is the professional close. In one background job it sends every remaining applicant their final status, including the people not moving forward, so nobody is left wondering. It refuses to run while live interview invites or unanswered offers remain, and tells you how many, so you finish those first. Owners and admins can reopen a completed round at any time, for example to add a later hire, and a scoped second send avoids emailing anyone twice.
Is the hiring pipeline included on every plan?
For organizations the hiring pipeline, the board, interview scheduling, offers, and the clean close are on the Pro plan and above, with a candidate cap of 50 on Pro, 500 on Premium, and unlimited on Enterprise. The advanced surfaces, hiring insights, stage automation, exports, bulk email, and the SLOS AI candidate match, are on Premium and above. For schools and departments the recruiting toolkit is included with the plan. Posting opportunities and receiving applications is always free.
How is applicant data kept private?
Privacy is structural, not a setting. Clicking a name opens a secure profile preview through a signed token, never a raw ID. Resumes and cover letters open through a proxy route with short lived access, never a public file link, so a document URL cannot be shared or guessed. Every action is gated by team role and enforced on the server, and every status change and document access is written to an audit trail.
